Multiple Rules Run in Order

Each rule is applied to every text cell in sequence — the result of rule 1 becomes the input of rule 2. This lets you chain renames, for example Inc → Ltd and then Ltd → Limited.

Case Matching and Whole-Cell Matching

Two independent options control what counts as a match. Find text is always literal — regular expressions are not supported, so dots, brackets, and other special characters are treated as ordinary characters.

OptionWhen it is onExample
Match caseABC and abc are treated as differentFind ABC matches ABC but not abc
Whole cellThe entire cell must equal the find textFind Inc matches Inc but not Acme Inc
Both off (default)Case-insensitive match anywhere in the cellFind inc matches Acme INC

How to Find and Replace in Excel Online

  1. Drop one .xlsx, .xlsm, or .xls workbook — everything is processed locally and never uploaded.
  2. Add your rules: type the text to find and what to replace it with. One rule per row, up to 20 rules.
  3. Tick Match case and Whole cell on individual rules whenever you need them.
  4. Click Find and replace — every sheet is scanned and all matching text cells are updated.
  5. Check the per-sheet report, then download the result named your-file-name-replaced.xlsx.

How It Works

A .xlsx workbook is a ZIP archive of XML parts. This tool opens that archive entirely in your browser, parses the cell values of each worksheet (and formulas where relevant), scans for your search term with the match options you set — case sensitivity, whole-cell or partial match — rewrites the matched text in place, then repackages the modified XML parts into a fresh .xlsx ZIP. The whole process runs locally; no file is uploaded.

Your file never leaves your device. All parsing, searching and repackaging happens in JavaScript inside the browser — no upload, no queue, and no file-size limit beyond what your machine can hold in memory.

Compared to Excel Find & Replace

Most people do find-and-replace in Excel via Ctrl+H. This tool does the same text substitution but works on the files you drop in directly, batches across multiple workbooks, and needs no Excel install.

When You Need This

  • Renaming a company, product, or brand across thousands of rows in one pass.
  • Cleaning prefixes or suffixes such as OLD-, (deprecated), or other markers.
  • Standardizing abbreviations: Inc → Incorporated, Corp → Corporation, LTD → Limited.
  • Fixing recurring typos or swapping terminology before sharing a report.

Good to Know Before You Start

Only text cells are processed — numbers, dates, booleans, and empty cells are never changed. If you need to replace content inside numbers, first convert the cells to text (or handle them while they are stored as text), then convert back with the text-to-numbers tool afterwards.

  • Find text is literal: regular expressions and wildcards are not supported.
  • An empty replacement deletes the matched text.
  • Rules run top to bottom — arrange the rows carefully when chaining matters.
  • The output is a value-level .xlsx: styles, merged cells, and charts are simplified.
  • Encrypted workbooks cannot be read without their open password.

Frequently Asked Questions

Is this find-and-replace tool really free?

Yes — 100% free, no sign-up, no watermark, no file limit, and all processing happens in your browser.

Does it replace text on every sheet?

Yes. Every worksheet is scanned, and the report lists the number of replaced cells separately for each sheet.

Can I use regular expressions?

No. Find text is matched literally — characters such as ".", "*", and "[" are ordinary characters and never act as regex.

What does “whole cell” mean?

With Whole cell on, a cell is replaced only when its entire text equals the find text (respecting the match-case option). A cell that merely contains the text is left alone.

Are numbers and dates replaced too?

No. Only text cells are processed; numbers, dates, booleans, and empty cells stay exactly as they are. Convert numbers to text first if their digits need replacing.

What happens when two rules match the same cell?

Both rules apply in list order, and the cell is counted only once in the replacement report.

Can the replacement contain "$1" or "$$"?

Yes — dollar signs are written literally. Replacement strings never trigger special regex substitution patterns.

Is my file uploaded to a server?

No. The workbook is parsed, updated, and rebuilt entirely in your browser with JavaScript. Your file never leaves your device.
