From One Worksheet to Three Files

Imagine a 6-row sales sheet with a Region column containing three values: North, South, and East. Splitting on that column produces three workbooks — North.xlsx, South.xlsx, and East.xlsx — each with the header plus its own two rows in their original order.

RowRegion (key column A)Output file
1North — Alice, 10North.xlsx
2South — Bob, 20South.xlsx
3East — Carol, 30East.xlsx
4North — Dave, 40North.xlsx
5South — Erin, 50South.xlsx
6East — Frank, 60East.xlsx

The three files are delivered together as one ZIP archive. Nothing is sorted or aggregated — every split file is just a filtered copy of the original worksheet, with the same columns and row order.

How to Split a Workbook by Column Online

  1. Drop one .xlsx, .xlsm, or .xls file — it is parsed locally and never uploaded.
  2. Choose the worksheet: every visible worksheet is listed, and only the one you select is split.
  3. Pick the key column: candidates are read from the first row and shown as “A — Region”; without a header, only the column letter is shown.
  4. Keep “First row is a header” checked (the default) so every split file starts with the same header row.
  5. Click Split workbook — rows are grouped by the key column in first-seen order, with no sorting.
  6. Download one ZIP archive containing a .xlsx file per distinct value, for example North.xlsx and South.xlsx.

How It Works

The tool reads your file in the browser with SheetJS, parsing the OOXML (.xlsx/.xlsm) or legacy BIFF (.xls) binary into an in-memory array-of-arrays. Rows of the selected worksheet are then grouped by the normalized key-column value — dates collapse to their ISO instant so the same moment merges, and truly empty, empty-string, and whitespace-only cells all fall into one blank group. Groups keep first-seen order with no sorting, and a typed number 1 and the text "1" stay apart. Each group is rebuilt as a fresh .xlsx workbook holding a single sheet under the original sheet name, with the header row carried into every file when enabled; filenames come straight from the key value, sanitized for Windows-illegal characters and de-duplicated so 1.xlsx and 1-2.xlsx never collide. Every split workbook is then zipped into one archive and handed back as a single download — the whole round-trip runs locally, and no byte ever touches a server.

Your file never leaves your device — processing is 100% in-browser.

When You Need This

  • Split a sales or orders export by region, country, or store so each team receives only its own rows.
  • Split an employee roster by department or team before sending it to different managers.
  • Split transactions or reports by month, using a month or date column as the key.
  • Split customer or lead lists by account owner, status, or industry.
  • Break a single-sheet survey or event export into one file per respondent group for multiple partners.

Blank Values and Output File Names

Rows whose key cell is empty — a truly empty cell, a typed empty string "", or whitespace only — are all collected into one file named blank.xlsx. No rows are ever dropped: every value that appears gets its own file.

File names come straight from the cell values: characters that are illegal in Windows file names (\ / ? : * [ ] < > | ") are replaced with underscores, over-long names are shortened, and type collisions such as the number 1 versus the text "1" are kept apart automatically as 1.xlsx and 1-2.xlsx. All files arrive together in one ZIP archive; only the selected worksheet is split, and each output workbook contains a single worksheet that keeps the original name.

Limitations

The split files are value-level .xlsx workbooks rebuilt from your data: cell styles, column widths, merged cells, formulas (written as their cached values), and charts are simplified. Open the file in our online editor first if formatting must survive.

  • Only the selected worksheet is split; other worksheets in the workbook are ignored.
  • Encrypted workbooks (a password is required to open them) cannot be read.
  • Legacy .xls files are accepted as input, but the split files are always written as modern .xlsx.

Frequently Asked Questions

Is this tool free, and is my file uploaded?

Yes — 100% free with no sign-up and no file limit. Parsing, grouping, and workbook rebuild all happen in your browser; the file never leaves your device.

How are rows assigned to files?

By an exact match on the normalized key-column value. The number 1 and the text "1" go to different files, leading and trailing spaces matter, and two dates at the same instant are treated as the same value. Files are created in first-seen order, with no sorting.

Does the header row appear in every split file?

With “First row is a header” enabled (the default), yes — every output file starts with the original header row. Turn the option off and the first row is treated as ordinary data instead.

What happens to rows with an empty key cell?

Truly empty cells, typed empty strings, and whitespace-only cells are all merged into one blank group and delivered as blank.xlsx, so no rows are lost.

Are the other worksheets split too?

No. Only the worksheet you select is split; every other worksheet in the workbook is ignored. Each output workbook contains exactly one worksheet, named like the source.

How are the output file names decided?

Each file is named after its key value, sanitized for Windows-illegal characters (\ / ? : * and similar become underscores) and shortened when very long. Colliding names — such as 1 and "1" — become 1.xlsx and 1-2.xlsx automatically. Everything downloads as one ZIP.

Which formats are supported, and is formatting preserved?

Input accepts .xlsx, .xlsm, and legacy .xls; output is always .xlsx inside a ZIP. The files are rebuilt from values, so styles and charts are simplified, and encrypted workbooks cannot be read.
