The Five Validators
Every value is converted to text and trimmed before it is checked. You can attach several validators to the same column — for example Required plus Email, so a row fails both when the cell is empty and when the address looks wrong.
| Validator | Passes when | Empty cell |
|---|---|---|
| Required | The cell is not empty: text, a number, a date, or TRUE/FALSE all count | Fails — a value is mandatory |
| After trimming, the text matches a basic pattern like name@example.com | Passes (skipped) | |
| URL | The value parses as a URL with an http:// or https:// protocol | Passes (skipped) |
| Phone | After removing spaces, hyphens, parentheses, dots, and a leading +, only 7–15 digits remain | Passes (skipped) |
| Number | A real number cell, or text shaped like 12.5 or -3 (no thousands commas); booleans and dates fail | Passes (skipped) |
Except for Required, every validator skips empty or whitespace-only cells. Combine Required with another validator when blanks must be reported too.
What the Output File Looks Like
Nothing is deleted or repaired. Every sheet keeps all of its original rows and columns, and exactly two columns are appended at the right edge: Validation Status and Validation Issues.
| Column | Contents | Example |
|---|---|---|
| Validation Status | Valid when no rule failed for the row; Invalid when at least one failed | Invalid |
| Validation Issues | Failed rule codes joined with "; " (semicolon + space); empty for valid rows | invalid email |
| Email (original) | Validation Status | Validation Issues |
|---|---|---|
| jane@acme.com | Valid | |
| acme@x | Invalid | invalid email |
| jane@acme.com | Valid | |
| Invalid | required |
The status and issue text in the downloaded file is always fixed English: Valid, Invalid, invalid email, invalid URL, invalid phone number, not a number, and required. If your sheet already has a column named Validation Status or Validation Issues, the new columns are named with a “(2)” suffix.
The report file preserves all original data and only adds the two result columns. It is rebuilt at value level, so cell styles, column widths, merged cells, and charts are simplified.
How to Validate Excel Data Online
- Drop one .xlsx, .xlsm, or .xls file — it is parsed locally in your browser and never uploaded.
- The first row of the first sheet builds the column dropdown, shown as “A — Email”. Columns without a text header show just their letter (A, B, C…).
- Add rules: pick a column and a validator. Add up to 20 rules; several validators can watch the same column.
- Keep “First row is a header” checked (the default) unless your data starts on row 1.
- Click Validate data, then review the per-sheet report showing invalid rows over total data rows.
- Download your-file-name-validated.xlsx — all original data is kept, with the two result columns appended.
Rules are applied to every worksheet by column index — column C is checked on every sheet, even when the sheets use different header text. Narrower sheets treat missing cells as empty (they fail Required and pass the other validators).
How It Works
Your .xlsx, .xlsm or .xls file is parsed in the browser with SheetJS and each worksheet is loaded into an in-memory array-of-arrays model. For every data row, the configured rules run column by column: each cell is converted to text and trimmed, then checked by its validator — Required fails on blanks; Email matches a basic name@host.tld pattern; URL parses with an http(s) protocol; Phone strips spaces, hyphens, parentheses, dots and a leading + to leave 7–15 digits; Number accepts real numbers and decimal-shaped text only. Failed codes from all rules on the row are joined with "; " into the Validation Issues column, the row is marked Valid or Invalid, and a per-sheet report tallies invalid rows over the total. The whole pipeline runs locally and the rebuilt workbook is generated without a byte leaving your device.
Your file never leaves your device — processing is 100% in-browser.
Compared to Excel’s Data Validation
Excel’s built-in Data Validation (Data → Data Validation) is a pre-input gate: you set rules on cells so typing outside the bounds is rejected or circled later. This tool does the opposite job — it scans data that already exists in the workbook and produces a readable report of which rows fail which rule, without altering the source values.
| Approach | Where your file goes | What to expect |
|---|---|---|
| This tool | Nowhere — processed in your browser | Free, no sign-up, scans existing data, readable report |
| Excel Data Validation | Stays on your disk | Pre-input rule enforcement, no scan report |
When to Validate Before You Import
- Cleaning contact lists before a CRM or database import that rejects malformed emails or duplicate-looking junk rows.
- Checking email campaigns before upload, so bounced messages never waste your sender reputation.
- Verifying phone or SMS lists where 7–15 digit numbers are required, with spaces and punctuation tolerated.
- Guarding numeric columns (price, quantity, age) against stray text, booleans, or “1,000”-style thousands separators.
- Marking mandatory columns that must never be blank before handing a template to colleagues or suppliers.
Frequently Asked Questions
Is this Excel validator free and private?
Yes — 100% free, no sign-up and no file limit. Parsing, validation, and the rebuilt workbook all happen in your browser with JavaScript; the file never leaves your device.
Do empty cells fail validation?
Only the Required validator fails on empty or whitespace-only cells. Email, URL, Phone, and Number skip blanks, so combine them with Required when missing values should also be flagged.
Can one column use more than one validator?
Yes. Add multiple rules for the same column — for instance Required and Email. All failing codes are collected in the Validation Issues column, joined with “; ”.
Does it check all sheets?
Yes. Every worksheet is validated by column index. Column C means the third column on every sheet, regardless of that sheet’s header text.
Are invalid rows deleted or fixed automatically?
No. All original data is preserved; rows are only marked Valid or Invalid in two appended columns, so you can filter, review, and fix them yourself.
What if my first row is data, not a header?
Uncheck “First row is a header”. Row 1 is then validated like any other row, and the two result columns contain results only — no header text is inserted.
Will my formatting be preserved?
The output is rebuilt from values, so styles, column widths, merged cells, and charts are simplified. The values themselves — including the two new columns — round-trip faithfully.
